Multi-Factor Authentication (MFA) for Workspaces

Multi-Factor Authentication adds an extra layer of protection to your VisualSitemaps account. When MFA is enabled, users sign in with their password and then enter a 6-digit code from an authenticator app.

VisualSitemaps supports authenticator apps such as Microsoft Authenticator, Google Authenticator, Authy, 1Password, Bitwarden, and other TOTP-compatible apps.

How MFA Works

After MFA is enabled, each user will be asked to enter a 6-digit authentication code when signing in. This code is generated by the authenticator app on their phone or password manager.

Workspace admins can also require MFA for the entire workspace.

When workspace MFA is required:

  • All existing workspace members must enable MFA.

  • New invitees must enable MFA before accessing the workspace.

  • Workspace admins and regular members are both covered.

  • Users who have not enabled MFA will be guided through setup before they can continue.

Setting Up MFA

To enable MFA:

  1. Go to Account Settings.

  2. Open the Security section.

  3. Select Set up MFA.

  4. Scan the QR code with your authenticator app.

  5. Enter the 6-digit code from the app.

  6. Save your backup codes.

If you cannot scan the QR code, choose the manual setup option and copy the setup key into your authenticator app.

Backup Codes

After enabling MFA, VisualSitemaps will generate backup codes.

Backup codes are one-time recovery codes you can use if you lose access to your authenticator app.

Important:

  • Store your backup codes somewhere safe.

  • Each backup code can only be used once.

  • You will only be shown the codes during setup or after regenerating them.

  • If you lose both your authenticator app and backup codes, contact your workspace admin or VisualSitemaps support.

Requiring MFA for a Workspace

Workspace admins can require MFA for all members.

To require MFA:

  1. Go to Workspace Settings.

  2. Open the Security section.

  3. Turn on Require MFA for all workspace members.

  4. Save changes.

Once enabled, members who have not set up MFA will be prompted to complete setup before accessing workspace content.

MFA for Invitees

When MFA is required for a workspace, invited users must enable MFA as part of joining or accessing the workspace.

This ensures that every user with access to the workspace is protected, including:

  • Existing members

  • New invitees

  • Workspace admins

  • Regular workspace members

Viewing MFA Status for Members

Workspace admins can see which members have enabled MFA.

The member list includes MFA status for each user:

  • Enabled: The user has completed MFA setup.

  • Not enabled: The user has not completed MFA setup yet.

This helps admins confirm whether the workspace is fully protected.

Signing In with MFA

After entering your email and password, VisualSitemaps will ask for your authentication code.

Open your authenticator app and enter the current 6-digit code.

If you do not have access to your authenticator app, choose Use a backup code.

Losing Access to MFA

If you lose access to your authenticator app:

  1. Try signing in with one of your backup codes.

  2. If backup codes are unavailable, contact your workspace admin.

  3. If you are the only workspace admin, contact VisualSitemaps support.

For security reasons, MFA resets may require account ownership verification.
